For small & mid-sized businesses

System + team. One monthly subscription.

We build it, we run it, you just work. A complete business system with everything you need in one place, and a real team that sets it up, keeps it running, and every month shows you exactly where your business makes and loses money. You don't learn anything or figure anything out.

Is this you?

You'll recognise yourself here

You don't lose money because you work badly. You lose it because no one can see what's actually happening. If any of these sound like you, we should talk.

01

Things fall through the cracks. A client wasn't called back, a task got forgotten, and you only find out when someone complains. Nobody's sure who was supposed to do what.

02

You can't see where you're losing money, or where your business could be earning more. The numbers are in people's heads, not in front of you.

03

You don't know which of your ads or channels actually bring paying clients, or why the ones you lose walk away.

A Digital Office fixes all three at once: one place where nothing gets lost, everyone knows their job, and you finally see the truth of your business — and someone who keeps it that way for you.

From chaos to clarity

What we actually do for you

Four steps. You start scattered across spreadsheets and chats. You end up with one system, a team that keeps it running, and a clear view of your money.

What's inside

Why we call it a digital office

The system we build holds everything you need to work: chats, tables, phone, messengers, deals, tasks. You see every part of your business on one screen. Think of it as an office floor plan, where every room is one job your business needs done. Tap a room to see what it does, in plain terms, and what it replaces.

Reception

Every inquiry gets checked in — no matter which door it walks through. Website forms, email, WhatsApp, Telegram, SMS and phone calls all land in one intake line, each with a name, a source and a person responsible.

  • No lead ever waits at the door or gets lost
  • Replaces: sticky notes, personal inboxes, "I thought you replied"

See it for real

This is what your digital office looks like inside

The same system works everywhere you do, on your computer, your laptop and your phone. And every tool you need is already wired into it: phone, messengers, email. No add-ons, no extra bills.

The part clients stay for

Every month, you finally see the truth of your business

Not a dashboard you have to build and read yourself. A written review we prepare for you every month, in plain English, showing who's really performing, where your money comes from, and exactly what to do next. Most owners tell us it's the first time they've truly seen their own business.

Your team, measured

Same leads, different speed. You see who moves fast and who lets deals go cold, with real numbers, not gut feeling.

Not data, a diagnosis

What we'd act on next

  • 1 Collect the $7,230 stuck at the invoice stage: money already earned, just not in the bank yet.
  • 2 Coach Daniel on response speed: he gets the same leads but reacts 4× slower than Katya.
  • 3 Lean into referrals: they cost $0 and nearly out-earn every paid channel you have.

The three moves that would make you the most money this month, in order. This is the part no software gives you.

Referral

Facebook

Bar shows revenue, not lead count. Referrals cost nothing and top the list, while Facebook costs $225 a lead for the least return. Now you know where to spend.

Side by side

What if you built it yourself, through big companies or freelancers?

You could. Buy a CRM, pay per seat, hire an integration agency to set it up, and take on someone to keep an eye on it, if you don't want to end up with a system nobody uses. Let's talk about the pros and cons.

Typical big-name CRM Workville Digital Office
Software licence $25–100 per user, per month — grows with every hire Flat platform fee shared by the whole team
Setup around your processes Not included — hire an agency ($5,000–15,000) Included in the monthly fee
A person who runs it & supports your team Not included — help center and tickets Included — a real person who answers
Ongoing improvements & monthly review of your numbers Not included Included in every plan
Cost per seat as your team grows Goes up — linearly, forever Goes down — the flat fee spreads across more people

The service

What you actually get

Every system is built around how your business actually works, never a template we hand everyone. You get that system, plus the licences, the phone, the support and a monthly review of your numbers, so it always stays current and working. Everything in one monthly price. The tools alone are easy to buy. Making them work in your business is the job, and that is the part we do.

Included 01

The Bitrix24 platform

The full platform licence is part of your monthly fee. No separate software bill, no per-seat charges as you hire.

Included 02

All your channels wired in

WhatsApp, Telegram, forms, email, SMS, all connected into one intake line so nothing lands in a personal inbox and disappears.

Included 03

Phone, set up & run

A working phone line inside the system: calls logged, recorded and tied to the right client. We set it up and keep it running (call minutes billed separately).

Included 04

Automation that does the busywork

Reminders, follow-ups, task assignment and stage rules, built so the system nudges your team instead of you chasing them.

Included 05

Support that answers

A real person keeps it running: access for new hires, fixes, questions from your team. You never file a ticket into the void.

Included 06

Monthly review of your numbers

A written report every month: where deals stall, where money leaks, what to fix next. Plain English, one page.

Pricing

One monthly fee. No setup fee. No surprises.

You don't pay $10,000 up front for an "implementation project". You pay a flat monthly fee and get a working system plus the team that runs it. All prices in CAD.

Studio

3–10 people
$690 /month CAD

For teams of 3 to 10 people

  • The full office — same features, smaller team
  • 4 hours/month of support & administration
  • 2 hours/month of improvements & new automations
  • Monthly review of your numbers & recommendations
  • All channels wired: phone, WhatsApp, forms, email
  • Team training & onboarding included

Floor

50+ people
$1,990 /month CAD

For teams of 50+ people

  • The full office, built for a large team
  • 14 hours/month of support & administration
  • 8 hours/month of improvements & new automations
  • Monthly review of your numbers & recommendations
  • Priority response & custom integrations
  • Extra messenger channels included
Pricing — the honest version Everything is in one price. The platform, messenger connectors and setup are all included in your monthly fee — no per-seat charges, no separate licence bills. The one thing billed to you directly is phone minutes (they depend on your call volume); we set the telephony up and keep it running. Minimum term: 6 months (that covers the build), then month-to-month with 30 days' notice. Everything runs on Bitrix24 — a platform used by 15+ million organizations — which is why the whole thing costs less than one desk in a downtown coworking space. And the account is yours: if we ever part ways, the system stays with you.

The real math

Do the math on what you would save

Building it yourself is never just a subscription. It is the software, plus an agency to set it up, plus paying per person, plus your own hours keeping it alive. Here is the full monthly cost of that path next to ours. Drag the slider. All prices in CAD.

How it works

From first message to a working system in about two weeks

Four stages. You keep running your business the whole time — we do the heavy lifting.

Stage 1

We map your business

Before building anything, we map how your business actually runs — where inquiries come from, how deals move, where they die. This survey alone usually finds money.

Stage 2

We build the system

Pipelines, automations, phone lines, messenger channels, reports — built around your business, starting with what matters most. Typical first build: 1–2 weeks.

Stage 3

Your team starts working in it

We migrate your client base, hand out the keys, and train every role with short video guides and written instructions. We stay close through the first weeks until working here feels normal.

Stage 4

We keep it running

Ongoing administration, support and improvements — plus a written monthly review of your numbers with clear recommendations. The system never gets abandoned. Neither do you.

Why I built this

Vladimir Zamelan

"Owners kept telling me the same story. A huge bill to get started, and then no idea what to do with the thing they'd bought. They saw digital systems as something that would just pull more and more money out of them, month after month. So I built the opposite: one clear product, easy to use, at a price that makes sense, and a team that stays and keeps it working. That's the whole point of what I do."

And the data agrees

Most business systems fail, and it's almost never the software.

Research puts the CRM failure rate at around 55% — more than half of systems never deliver what they promised. The cause is rarely the technology: studies attribute over 60% of failures to people and process, poor adoption, no training, and no one keeping the system aligned as the business changes. Only about 6–10% come down to the platform itself.

The pattern is consistent. A system survives for one reason: someone owns it, keeps the team using it, and adapts it as the business shifts. Left to run on its own, it quietly fades within a year, no matter how good the software was on day one.

Before you sign

Fair questions

What exactly am I paying for every month?
A working system and the person who runs it. The fee covers administration, support for your team, improvements within your plan hours, and the monthly written review of your numbers. Everything is in one price — we tell you your full monthly number up front.
Is this just software, or do you run it too?
Both. Unlike self-service CRMs that hand you software and walk away, Workville builds the system and then runs it for you: a real team keeps it working, trains new hires, adjusts it as your business changes, and sends you a monthly review of your numbers. Most business systems fail because no one keeps them aligned. With us, someone does.
How much does it cost to set up a CRM for a small business?
With Workville there is no large upfront setup fee. Instead of paying thousands for a one-time integration plus per-seat licences plus someone to run it, you pay one flat monthly subscription that includes the system, the licences, the setup, the support and a monthly review. No per-seat charges as you hire.
We're tiny — 3 people. Is this overkill?
The smaller the team, the more each lost inquiry hurts. Studio exists exactly for you: the full office, just sized for a small team. And it grows with you — moving up to Suite later takes days, not another project.
What if we cancel after it's built?
The system is yours — it's built on your own account, and it stays with you if we part ways. The minimum term is 6 months, which covers the build. After that, month-to-month. Most clients stay because the monthly reviews keep paying for themselves, not because a contract says so.
Why is it so much cheaper than a CRM implementation quote I got?
A traditional implementation is a big custom project: you pay a large fee upfront, wait through a long build, and then you're on your own. We build for you just as custom — but we don't try to force your whole business into the system on day one. We start with what matters most, get you working, and add the rest at a pace that doesn't overwhelm your team. The cost is spread into a monthly fee instead of one big cheque, and we stay on to run it. Same custom result — you're just never left holding an abandoned system.
My team hates new software. Honestly — will they use it?
Adoption is our job, not yours. We train each role separately on their part of the system only, in their language, and we stay close through the first weeks. A system nobody uses is wasted money — we don't consider the job done until your team actually works in it.
Why not just buy one of those cheap CRM subscriptions myself?
You can. Then you spend your evenings watching tutorials, wiring it up, and wondering why your team won't touch it — and there's no one to call when something breaks. The subscription is the easy part. Setting it up around your business, training your people, keeping it running and reading your numbers every month is the actual work. That's what you're paying us for, and it's included in the same monthly price.
Is my data safe? Where does it live?
Safer than where it lives now — someone's phone, a shared spreadsheet, a few chats, with no backups. Your data sits on Amazon's cloud, the same infrastructure behind banks and apps you already use every day. It's encrypted, backed up daily, and walled off from everyone else. The account is registered in your name, so it's always yours.
Do you charge more every time I hire someone?
No. Most software charges per user, so growing your team quietly grows your bill. We charge one flat price for the whole office, whatever the plan holds. Hire freely — the price doesn't move.
